WOLF TRAINING SYSTEMS PRIVACY POLICY

1. About Us
Wolf Training Systems a corporation registered in British Columbia, Canada (“we,” “our,” or “us”).
This policy explains how we handle personal information through the Wolf Medical app, web dashboard and related services (“Platform”).
2. Information We Collect
We collect information you provide when creating an account, using the Platform or contacting us, including:
- Name, email address, account credentials and optional agency affiliation.
- Training scenarios, timestamps, instructor assessments, scores and performance results.
- Video recordings and associated training information.
- Support communications.
We also automatically collect Platform usage data, device and system information, installation identifiers and crash reports. Instructors or authorized organizational personnel may enter training and assessment information about you.
3. How We Use Information
We use information to manage accounts, provide training and assessment features, display recordings and results, provide support, maintain security and resolve technical problems.
We use anonymized or aggregated information for analytics, Platform improvement, feature development, research and benchmarking.
We do not sell personal information or publicly disclose or commercialize identifiable personal information or video recordings.
4. Storage and Security
Recordings may be stored locally on your device or in cloud storage, depending on the features used. Cloud servers may be located within or outside Canada, where information may be subject to local laws.
We use commercially reasonable safeguards to protect information, including HTTPS/TLS encryption during transmission to our cloud services. No storage or transmission system is completely secure.
5. Who Can Access Information
Authorized instructors and organizational administrators may access information relevant to providing and administering your training.
We use service providers, including Google Firebase, to operate the Platform and store information. Firebase Crashlytics processes crash reports, installation identifiers and device information to help resolve technical problems.
Service providers must use personal information only to provide their services to us and protect it to the same or an equivalent standard described in this policy.
We may also disclose information where required by law or a valid legal order. We do not publicly distribute user recordings.
6. Retention and Deletion
We retain personal information only as long as necessary to provide the Platform and meet applicable legal and security requirements. When information is no longer needed, we delete it or anonymize it.
To request deletion of your account and associated information, email info@wolftrainingsystems.com with the subject “Account Deletion.” Include your account email address, but not your password.
We may verify your identity before processing your request. We process requests without undue delay and within applicable legal deadlines.
Deletion includes associated personal information and cloud recordings under our control. If information must be retained for legal compliance, security or fraud prevention, we explain the reason and retain it only as long as necessary.
Deleting your account does not remove copies stored independently on your device or held by another organization.
7. Your Privacy Choices
You may request access to or correction of your personal information, withdraw consent, or raise a privacy concern by emailing info@wolftrainingsystems.com. An active subscription is not required to make these requests.
You can manage device permissions through your device settings. Withdrawing consent or permissions may prevent features that require that information from working. Withdrawal does not affect information already lawfully processed or retention required by law.
Users are responsible for obtaining legally required consent before recording other people. We remain responsible for our own handling of personal information.
8. Age Restriction
The Platform is intended for individuals aged 18 and older. We do not knowingly collect personal information from individuals under 18. Contact us if you believe we have done so.
9. Policy Changes
We publish updated versions of this policy with a revised effective date and notify users of material changes by email or through the Platform. Where required, we obtain consent before using information for a new purpose.
